Job Description

We are seeking a highly organized and proactive Virtual Assistant with a focus on email management to join our team. The ideal candidate will be responsible for streamlining our email communication, ensuring prompt responses, and maintaining an organized inbox. This remote position requires excellent communication skills, attention to detail, and the ability to work independently.

Key Responsibilities

Inbox Management:

  • Organize, categorize, prioritize, and respond to emails. 
  • Set up alerts, rules, and filters to manage incoming emails efficiently.
  • Clean up and sort, archive, or delete old emails to keep the inbox clutter-free.

Communication

  • Establish autoresponders to handle routine messages.
  • Ensure prompt and consistent communication with clients and team members.
  • Act as the first point of contact for email inquiries.

Scheduling and Coordination

  • Schedule meetings, appointments, and events via email.
  • Coordinate with team members and clients to manage calendar invites.

Support Services

  • Provide email support services to customers.
  • Address urgent emails promptly and escalate issues when necessary.

Reporting

  • Prepare regular reports on email activity and performance. 
  • Identify and suggest improvements for email management processes.

Requirements

  • Proven experience as a virtual assistant or in a similar role. 
  • Proficiency in email management tools and software. 
  • Strong organizational and time management skills. 
  • Excellent written and verbal communication skills.
  • Ability to work independently and manage multiple tasks.
  • Familiarity with email etiquette and best practices.

Preferred Skills

  • Experience with CRM systems and project management tools.
  • Basic knowledge of technical support and customer service.

Work Environment

  • This is a remote position, allowing for flexible work hours. 
  • The candidate must have a reliable internet connection and a suitable workspace.
